This Privacy Policy explains how PawCopilot collects, uses, shares, and protects personal information.
PawCopilot is operated by PAW COPILOT LLC, a Wisconsin limited liability company. In this Privacy Policy, “PawCopilot,” “we,” “us,” and “our” refer to PAW COPILOT LLC.
1. Scope
This Privacy Policy applies to information we collect through our website, software, booking tools, account features, payment-related features, communications, support channels, and related services.
If PawCopilot is used by a grooming business, salon, mobile groomer, or other pet-care business, that business may also collect and use information under its own privacy practices. PawCopilot is not responsible for the independent privacy practices of third-party pet-care businesses.
2. Our Role
When PawCopilot collects information directly from visitors, users, subscribers, or account holders for our own business purposes, we act as the business or controller of that information.
When PawCopilot processes client, pet, appointment, or business records on behalf of a pet-care business, PawCopilot may act as a service provider or processor for that business. The business remains responsible for its own relationship with its clients and for providing any notices or obtaining any consents required by law.
3. Information We Collect
PawCopilot may collect the following categories of information:
Account and profile information: name, email address, phone number, username, password credentials or password hash, business name, business role, mailing address, and profile information.
Business information: grooming business name, location, services, staff information, availability, pricing, business settings, Stripe Connect status, and related operational details.
Booking and service information: appointment details, pet names, pet profiles, breed, size, age, care preferences, grooming notes, appointment notes, service history, cancellation history, review history, and booking communications.
Payment and billing information: transaction amounts, billing address, invoice history, subscription status, payment status, tips, deposits, refunds, chargebacks, partial payment method details, tokenized payment credentials, Stripe identifiers, and related billing metadata.
User-generated content: photos, reviews, ratings, messages, notes, comments, uploaded content, support requests, and other content submitted through the services.
Communications information: emails, text messages, support tickets, reminders, notification preferences, marketing preferences, opt-in and opt-out records, and other communications with PawCopilot or through the platform.
Technical, analytics, and usage information: IP address, browser type, device type, operating system, pages viewed, referring URLs, timestamps, log data, approximate location inferred from IP address, cookie identifiers, analytics identifiers, device identifiers, error logs, crash reports, performance data, session activity, clicks, scrolling, page interactions, and interactions with the services.
Third-party information: information from Stripe, Stripe Connect, authentication providers, analytics providers, error-monitoring tools, session replay tools, communications vendors, fraud-prevention providers, or integrations connected to PawCopilot.
PawCopilot does not currently intend to collect vaccination records, veterinary records, signed waivers, or detailed pet health records. Users should not submit unnecessary sensitive, medical, or health-related information through the services.
4. How We Use Information
PawCopilot may use personal information to:
- provide, operate, maintain, and improve the services;
- create and manage accounts;
- authenticate users;
- process bookings, appointments, subscriptions, deposits, payments, tips, refunds, and invoices;
- maintain client, pet, appointment, grooming, and business records;
- send booking confirmations, appointment reminders, receipts, payment notices, password resets, security alerts, support messages, review requests, and other transactional communications;
- provide customer support;
- personalize and improve user experience;
- analyze usage and performance;
- detect, diagnose, reproduce, and fix errors, bugs, crashes, user-interface issues, and performance problems;
- monitor application stability and security;
- use session replay or similar tools to understand user issues, troubleshoot problems, and improve the product;
- detect, prevent, and respond to fraud, abuse, security incidents, and technical issues;
- moderate reviews, photos, messages, and other content;
- send marketing communications where permitted by law;
- comply with legal, tax, accounting, and regulatory obligations;
- enforce our Terms of Service and protect our rights.
5. Cookies, Analytics, Error Monitoring, and Session Replay
PawCopilot may use cookies, pixels, local storage, software development kits, and similar technologies to operate the website and services, keep users signed in, remember preferences, understand usage, improve performance, detect fraud, maintain security, and support analytics.
PawCopilot may use analytics tools, including Google Analytics, to understand how visitors and users interact with the website and services. These tools may collect information such as pages viewed, time spent on pages, browser type, device type, operating system, referring pages, approximate location, and interactions with the services.
PawCopilot may also use error-monitoring, diagnostic, performance-monitoring, and session replay tools, including Sentry, to help detect, reproduce, and fix technical issues. These tools may collect technical data, error logs, crash reports, performance information, device and browser information, IP address, user interactions, page views, clicks, scrolling, and similar session activity.
Session replay tools may record how users interact with parts of the application so that PawCopilot can troubleshoot bugs, improve usability, and understand user issues. PawCopilot uses these tools for product improvement, support, security, and debugging purposes.
PawCopilot does not intentionally use session replay tools to collect passwords, full payment card numbers, or other highly sensitive information. However, users should avoid entering unnecessary sensitive, medical, financial, or confidential information into fields not intended for that information.
You may control cookies through your browser settings or through any cookie controls we provide. Disabling cookies may affect some features of the services.
If PawCopilot uses advertising, analytics, or tracking technologies that are considered a “sale” or “sharing” under applicable privacy laws, PawCopilot will provide any legally required notices and opt-out rights.
6. How We Share Information
PawCopilot may share information with:
Grooming businesses and pet-care providers: if a pet owner books, messages, reviews, pays, or interacts with a grooming business through PawCopilot, relevant information may be shared with that business.
Pet owners and customers: if a grooming business uses PawCopilot to manage bookings, reminders, reviews, photos, or communications, certain business information, availability, service information, appointment status, and communications may be shared with the applicable pet owner or customer.
Stripe and Stripe Connect: payment, billing, identity, fraud-prevention, subscription, transaction, refund, tip, deposit, chargeback, and payout information may be shared with Stripe to process payments and provide payment-related services.
Service providers: hosting providers, communications vendors, analytics providers, error-monitoring tools, session replay providers, customer support tools, security vendors, fraud-prevention vendors, and other companies that help us operate, support, secure, analyze, and improve the services.
Analytics and diagnostic providers: usage, technical, performance, error, and session information may be shared with analytics, monitoring, and diagnostic providers to help us understand and improve the services.
Professional advisers: lawyers, accountants, insurers, auditors, and other professional advisers.
Legal and safety recipients: courts, regulators, law enforcement, government authorities, or other parties where disclosure is required by law or reasonably necessary to protect rights, safety, security, or property.
Business transaction parties: potential buyers, investors, lenders, merger partners, or successors if PawCopilot is involved in a merger, acquisition, financing, restructuring, sale of assets, or similar transaction.
PawCopilot does not sell personal information for money.
7. Marketing and Communications
PawCopilot may send transactional communications such as account notices, booking confirmations, appointment reminders, receipts, payment notices, password resets, security alerts, support messages, review requests, and policy updates.
Where permitted by law, PawCopilot may send marketing communications about products, services, updates, promotions, or offers. You may opt out of marketing emails by using the unsubscribe link or contacting us.
If text messaging is offered, message frequency may vary. Message and data rates may apply. Where supported, you may opt out of text messages by replying STOP.
Opting out of marketing communications does not stop transactional, legal, security, payment, or service-related communications.
8. User Content and Public Information
If you submit reviews, ratings, photos, testimonials, or other content intended for public display, that content may be visible to other users or the public.
Do not submit personal information, sensitive information, or information about others unless you have the right to do so.
PawCopilot may remove or restrict content that violates our Terms of Service or creates legal, safety, privacy, or security risk.
9. Data Retention
PawCopilot retains personal information only as long as reasonably necessary for the purposes described in this Privacy Policy, including business, legal, accounting, tax, fraud-prevention, security, debugging, product improvement, and dispute-resolution purposes.
As a general guideline:
- account profile data is retained while the account is active and for up to 2 years after closure;
- billing, invoice, refund, payment, and subscription records may be retained for up to 7 years;
- booking and appointment records may be retained for up to 4 years after the service date;
- grooming notes and appointment notes may be retained while the account is active and for a reasonable period after closure;
- support records may be retained for up to 2 years after the issue is closed;
- marketing consent and opt-out records may be retained as long as needed to honor preferences;
- security logs, diagnostic logs, error logs, and session replay data may be retained for a reasonable period unless needed longer for security, debugging, investigation, legal, or operational reasons;
- backup copies may be retained for a limited period according to our backup practices.
We may retain information longer if required by law, needed to resolve disputes, enforce agreements, prevent fraud or abuse, investigate security issues, improve the services, or protect legal rights.
10. Security
PawCopilot uses administrative, technical, and physical safeguards appropriate to the nature of the personal information we process.
These safeguards may include TLS encryption in transit, encryption where appropriate, access controls, role-based permissions, secure password handling, logging, monitoring, vendor diligence, and incident-response procedures.
No system is completely secure, and PawCopilot cannot guarantee absolute security.
11. Children’s Privacy
PawCopilot is not directed to children under 13 and does not knowingly collect personal information from children under 13.
If we learn that a child under 13 has provided personal information in violation of this Privacy Policy, we will take reasonable steps to delete it.

12. Your Privacy Rights
Depending on where you live, you may have rights to access, correct, delete, restrict, object to, or receive a copy of your personal information.
California residents may have rights under the California Consumer Privacy Act, as amended, including the right to know, delete, correct, opt out of certain sharing or sales, and not be discriminated against for exercising privacy rights.

We may need to verify your identity before fulfilling certain requests. We may deny requests where permitted by law, including where information must be retained for legal, security, fraud-prevention, accounting, dispute-resolution, debugging, product improvement, or operational reasons.
13. California Privacy Notice
This section applies to California residents where the California Consumer Privacy Act, as amended, applies.
PawCopilot may collect the categories of personal information described above, including identifiers, commercial information, internet or network activity, approximate geolocation information inferred from IP address, user-generated content, professional or business-related information, and technical, diagnostic, analytics, and session activity information.
We collect and use this information for the business and commercial purposes described in this Privacy Policy.
We may disclose personal information to service providers, payment processors, communications vendors, analytics providers, error-monitoring providers, session replay providers, professional advisers, legal authorities, and pet-care businesses involved in the services.
PawCopilot does not sell personal information for money. If we use advertising, analytics, or tracking technologies that are considered a “sale” or “sharing” under California law, we will provide a way to opt out.
California residents may contact privacy@pawcopilot.com to exercise applicable rights.
14. International Users
PawCopilot is based in the United States. If you access the services from outside the United States, your information may be processed and stored in the United States or other countries where we or our service providers operate.
By using the services, you understand that your information may be transferred to countries that may have different data protection laws than your country of residence.
15. Third-Party Links and Services
The services may contain links to third-party websites, applications, payment processors, integrations, or services.
PawCopilot is not responsible for the privacy practices of third parties. You should review their privacy policies before providing information to them.
16. Changes to This Privacy Policy
PawCopilot may update this Privacy Policy from time to time. When we make changes, we will update the “Last updated” date above.
For material changes, we may provide additional notice, such as by email, in-product notice, or a website notice.
Your continued use of the services after the updated Privacy Policy becomes effective means you acknowledge the updated policy.
